Common Metadata and Fonds Descriptions for the Construction of a Cross-sectional Archive Search System
Get PDF本稿では、横断的・統合的なアーカイブズ検索システムに求められる共通メタデータは何か、それを明らかにするため調査・考察を行った。
日本では現在、一部アーカイブズを横断検索できる仕組みは提供されているが、網羅的な横断検索は道半ばだ。今後より一層の検索利便性をかなえると共に、運営側の財政的・作業的負担を軽減する必要がある。そのためにもデータベース構築時に最低限必要となる共通メタデータを事前に明らかにすることは意義がある。
調査は国内アーカイブズ関連機関の検索システムのフォンド記述が検索可能か、10機関・組織に絞りシステムの検索項目を比較した。その結果、現状Web上の検索システムに階層検索が広く採用されているものの、記述レベルが不明確でコンテクストの記述も不十分であった。共通メタデータとしては、ISAD（G）が最優先すべきとした個別情報エリアの項目はほぼカバーできており、「ID（識別番号／レファレンスコード）」「タイトル（資料名）」「作成者」「作成年」が抽出できた。
以上から、既存システムにはフォンドレベルの記述を追加し、新規には資料群全体を優先した編成の必要性が明らかとなった。ただし、人的・財政的に厳しさを増す中・小規模機関での電子情報共有化については、実現可能な方途が望まれている。This paper investigates the common metadata required for a cross-cutting and integrated archives
search system. While Japan currently provides systems to cross-searche some archives, comprehensive
cross-cutting searches are still in progress. To enhance search convenience for users and alleviate the
financial and operational burdens on the management, it is crucial to identify the minimum common metadata required when building a database.
The study focused on whether the fonds descriptions of domestic archival institutions are searchable
and it compared the search criteria across ten institutions. The results revealed that hierarchical searches are widely adopted in current web-based search systems, but the description levels were unclear, and contextual descriptions were insufficient. Furthermore, the systems under investigation provided mostly comprehensive coverage of the identify statement area elements prioritised by ISAD(G), including "ID (Identification Number/Reference Code)," "Title (Document Name)," "Creator," and "Creation Year."
Therefore, it is evident that existing systems need to add fonds-level descriptions, and new systems
should prioritize arrangement the entire collection. However, there is a need for feasible approaches to
electronic information sharing, especially for small and medium institutions which are under increasing
