    Job satisfaction of archival staff working at the public archives

    As the structure of organizations which developed in the direction of the needs of the society has become more complicated, the problems stemming from human factor increased and there arose a need o investigate these problems. Employees spend a period of eight hours at their workplaces. Therefore, the personel considentions of employees about their jobs becomes an important issue to be looked into. Inadequate organization of the State's archival units in Turkey is a by-product of their ineffective status in the institutions to which they are attached. Further more, it seems that the qualifications and professional formation of the personnel employed in these units are not adequately taken into account. This study aims at establishing how the personal qualifications and lack of professional formation of the staff employed in the public archival institutions affect their assessment of job satisfaction. In the light of this, our hypothesis is as follows: In our country, the expectations of staff working in public institutions and organization archives in relation to job satisfaction in the out of the criteria which consist of "belief in the significance of the work done", "finding the work done worth doing", "appropriateness of the work to the knowledge and skills", individual properties and work safety. These criterias are (physical) working conditions, wages, appreciation, possibility of promotion, the facility of obtaining information about work from administrator and colleageus, group work and individual work, social facilities provided by the institution (such as nursery, camp, consumption cooperation, etc.), distribution of authority and responsibility and participation in decision-making. It can be looked for the reasons of that situation in the staff working in public institutions and organizations archives have not taken enough education of archives studies. In our study 197 out of 234 members of staff in seven public institution archives, were surveyed the institutions are Turkish Republic Prime Ministry Undersecretariat of Treasury, General Documents and Branch Directorate; Turkish Republic Prime Ministry, Undersecretariat of Foreign Trade, General Documents and Branch Directorate; Foundations General Directorate Culture and Registration Office Directorate Archives; State Planning Institution General Documents and Branch Directorate; Ministry of Agriculture General Documents and Branch Directorate, Hacettepe Hospital Medical Documentation Center and Archives ). As a result of our study, it was established that the job satisfaction of personnel working in public institution archives was affected not by factors like individual properties (gender, age, marital status, education level, status, seniority in public work etc.) fear of losing one's job, belief in the significance of the work, the worth doing, but by wage, appreciation, the opportunity of obtaining information from administrator and colleagues, authority- responsibility balance, opportunity of promotion and the facilities provided by the institutions

    Performance evaluation of web search engines

    As the information is increasingly moved from printed media to the electronic equivalents in today's world, the Internet has become an indispensable information source with its proliferating contents and accessibility from all over the world. In this context, such questions as the performances of the search engines and if they can meet the users' needs are studied. In this study, information retrieval performances of the five search engines (Alta Vista, Excite, HotBot, Infoseek and the Northern Light) are evaluated in terms of precision, recall, differences between the first 10 and first 20 retrieved results and overlap. The evaluation is based on the first 20 retrieved results of 1 1 queries. As a result of evaluation, it was found that the average precision performances of Alta Vista, Excite, HotBot and Infoseek are around 50% while it is 64% for the Northern Light. However, no statistical significance in terms of average precision ratio among the search engines is observed. On the other hand, the average relative recall ratios of these engines vary between 14% and 31% (Infoseek 14%, HotBot 21%, Excite 23%, Alta Vista 24%, Northern Light 31%). Tests showed that there is a statistical significance between Infoseek and the Northern Light in terms of their average relative recall ratios. The overlap among the relevant documents which are retrieved by all five search engines is 11%. In conclusion, the average recall and precision performances of search engines are low. Search engines are similar to each other in terms of their average precision and recall ratios with the exception of Infoseek and the Northern Light which they differ in average recall performances. Also, it is observed that the overlap ratio among the retrieved results by all five search engines is low, as they index different documents in different subject areas

    Cost analysis of document delivery in the National Academic Network and Information Center

    Document delivery has currently become such an important and indispensable service satisfying information needs of users. Rapid developments in information technologies introduced a new dimension to document delivery services: documents can now be supplied quickly and more easily. This study aims to review the document delivery requests submitted to the Document Delivery Services Unit of the National Academic Network and Information Center (ULAKBIM). It concentrates on the journals and their age whence document delivery requests were filled, and compares the length of time (in days) it takes to fill a request and the unit cost of supplying requests from printed journals as opposed to electronic ones. We tracked the data with regards to document delivery requests that were submitted to the Unit for two months and obtained needed information from the Center to calculate the unit cost. We reviewed the user profiles, requests, journal titles and libraries from which requests were filled. We tested a) if the data about journals conform to Bradford's Law of Scattering, and b) if the ages of requested articles conform to the notion of "literature obsolescence." We calculated the average unit cost of supplying a document by dividing total cost by the total number of document delivery requests. We found that the Document Delivery Services Unit satisfied two-thirds (6036) of a total of 9213 document delivery requests submitted to the Unit during the two months' period of our study. Requests were satisfied from a total of 1671 journal titles. Almost half (42%) of those journal titles were used only once for document delivery purposes. A small number (135) of "core" journals satisfied one- thirds (35%) of requests and the distribution of journals conforms to Bradford's Law of Scattering. Half (median) of all requests were satisfied from journal issues that were published within the last 7 years. This indicates that more recent articles are requested much more heavily, which is parallel with the phenomenon of literature obsolescence. The unit cost of supplying an article in the year 2000 was found as about 3 million Turkish liras. From submission to the mailing of the document, it took a total of 15 days to fill a document delivery request. As the process of supplying documents from printed journals is no different than that of electronic journals, the length it takes to satisfy a request and its unit cost are similar for both electronic and printed journals. Nevertheless, once the requests that were satisfied from electronic journals were routed to the libraries, the length of providing the documents was much shorter than those for printed journals. The median duration of filling the requests from electronic journals was 1 day as opposed to 4 days from printed journals. In conclusion, costs studies should be done so as to find out the more economical method of document delivery (subscription, commercial document delivery services, and electronic means, among others). Data regarding document delivery requests should be gathered for collection development purposes. It would then be possible to identify core journals and their back issues that should be acquired and maintained. In order to speed up the document delivery process and decrease the costs, ULAKBIM should make a transition to an electronic document delivery system and subscribe to electronic versions of the most heavily requested journals. Requests that are satisfied from electronic and printed journals should be processed separately to speed up the document delivery services

    Business process related document flow charts for inspection and arrangement of document creation and an application

    This study, called "Business process related document flow charts for inspection and arrangement of document creation: an application", aims at determining the required steps to control, arrange and profit from documents, which are created in a company and explaining these steps on a sample application. Companies should decide to organize all documents and build up their business process flow charts, the subprocess flow charts or a combination of the two. For every time period, a different business process is used, and for each process, there is a different way of working. Document creation during that process is difficult, if not impossible. Proper documentation is the key to standard applications (in accordance with Total Process Management) and quality. There are no differences between business process and document flow charts. Because analyzing the business processes unveils hidden document flow. We require a proof of the business process, i.e. a "Document Flow Chart". While the company works the document flow-charts, it should expand the project within all its departments. There are 6 stages of creating document flow-charts : - Business process are defined and flow-charted. - Flow-charts are described accurately. - Documentation is reviewed. - TQM, TPM members and process owners are named. - Enterprise-wide mission is documented. - Process boundaries are defined. The company will integrate its business process over the document flow charts, enabling the Total Process Management at greater levels of efficiency. It should create additional new business processes and should update its document flowcharts. As a result of changes in the structure of companies, the document flow charts should be adapted to the new business or be updated accordingly. Organizations should meet the international standards while producing, inspectig and arranging their documents. As business conditions and organizations change, the decisionmaker should have all critical business process documented. Changing structure and work-processes in a company hinders the management and the communication within its departments and so the funtions of that company. The problems due to poor documentation can be solved through the "Document Inspection and Organization Project." The companies need to establish their standards concerning their international documentations and then form the procedures about creaing documents

    Problems of medical record department in teaching hospitals of Iran

    The purpose of this study was to find out the important problems of management of the medical record department, in teaching hospitals of Iran and provide recommendations for solving problems. The organization and management of medical records to meet present day and future requirements of the patient health care providers, medical and social researchers, government agencies, and educational institutions requires the fixing of responsibility for medical record management; the production of records plan; the development of guidelines and standards; the establishment of a retention and disposal program; evaluation of records media; the provision of adequate and appropriate storage systems, and input from staff with professional knowledge and experience. The primary study in this field has shown that the medical record department of teaching hospitals of Iran are not able to serve researchers and medical students sufficiently. The most important cause of this defficiency is the lack of effective management in those departments. There is not enough skilled personnel in this field and the standard of medical records is generally poor, their content is usually inadequate and it is difficult to extract information quickly. Collection of data for this study were involved in sending questionnaires to the managers of the medical record departments and the hospitalrs administrators, direct observations, visiting hospitals and reviewing the existing literature. The survey method was used throughout the study. Analysis of replies to questionnaires which were distributed among the managers of the medical record departments shows that they are not sufficiently successful to fulfill the management activities in their departments. Analysis of replies to questionnaires which were distributed among the hospital's administrators shows that the managers of the medical record departments have not enough skill to manage those departments. Hospitals' administrators believe that they need a manager who is university graduated in this field, while most of the managers are high school diploma holders. The analysis of interviews and observations shows that the standard of the medical record is generally poor, and their content is usually inadequate and it is difficult to extract information from them quickly. It is recommended that: - A council for legal aspects of medical record and a council for standardization of medical record be establised by the Vice Minister of Research, Ministry of Health and Medical Education. - To establish an educational program for training teachers of medical record science at post graduate level. - Reviewing the existed educational program in this field and improve its level to the standard which exist elsewhere in the world and planning a program for informal education of personnel. - To establish the Iranian Medical Record Association as soon as possible

    Value of journal collections: An analysis based on usage and citation data

    In university libraries; journal collection has a significiant value for usage and scientific output. Multi-dimensional analysis of journal collection is therefore very important. The main purpose of this study is to make a multi-dimensional analysis of METU's journal collection for the period of 2001-2011. In this study, ranking and clustering features of journals were evaluated by multiple variables and dimensions. The study aims to calculate a total value for journals. Data regarding METU journal collection were provided from Web of Knowledge, InCites, JCR, SCImago platforms and administration pages of publishers. Download data of METU journals, publications with METU addresses, and international quality indicators of journals were provided from these platforms and 13 variables were identified. Factor analysis has been performed for 13 variables chosen for the study in order to identify dimensions. Four dimensions have been identified as a result of factor analysis and named as usage, scientific production, international indicators and scientific impact. K-means cluster analysis has been carried out and each dimension has been partitioned into five clusters.A small number of journals satisfy significiant value by the cluster with the highest value for each dimension. The study analysed common journals and subject fields among four dimensions. Usage has the most common journals and subject fields. Calculated by clustering results, journals were scored 1-5 for each dimension. Comparison for the highest journals between total value and dimensions indicated 72 percent overlap. Comparing total value with 13 variables, there is intermediate and good correlation. Also, comparison between total value and each dimensions indicated that the highest correlation belongs to usage and the lowest correlation belongs to international indicators. In conclusion, we identified journal clusters with hierarchical value by dimensions of usage, scientific production, international indicators and scientific impact and we established journals with the highest value for each dimension. Comparison among total value, variables and dimensions show the degree of importance for measurement criteria. The results obtained from this study can be used for the development of service and collection management policy

    Assessing the diffusion of nanotechnology in Turkey: A social network analysis approach

    This dissertation assesses the diffusion of nanoscience and nanotechnology in the scientific community in the last decade using Social Network Analysis (SNA) in Turkey. This dissertation aims to evaluate the flow of knowledge diffusion of nanotechnology among scientists by using ethnographic methods, co-words analysis and by focusing on an invisible college in the scientific community in terms of citation analysis in Turkey. A total of 10,062 articles and reviews were extracted from WoS (2664 between 2000 and 2005, and 7398 between 2006 and 2011) using a compound text query. Results compiled from co-authorship network analysis comprised a high closeness centrality indicating the small-world phenomenon which facilitates the diffusion of nano-related technology in Turkey. We discovered the scientists who are instrumental in the diffusion of nanotechnology knowledge in the network. We test the hypotheses that: (1) prolific authors stimulate the diffusion of nanotechnology in network structure; (2) dissemination of nanotechnology is more diffusive within sub-clusters than that of the whole network structure; and (3) taxonomy identified by co-word analysis in the research process matches the findings at the global level. Universities with the highest co-occurrence in terms of centralities in the network structure were studied. Then, we compared the results from each period to investigate the rate of diffusion of nano-related technology in Turkey. We found out that research on nano-related technology is done in a wide spectrum from Materials to Biomedical Sciences. Moreover, we found that TÜBİTAK and the Ministry of Development (MoD) have increased their funding support. We corroborate the findings by interviewing the key scientists or authors who are instrumental in the diffusion of nano-related technologies in Turkey. We collected and elaborated on 10 interviewees' responses using a qualitative method (Latent Semantic Analysis). Outcomes indicated that scientists' behavior who participated in interviews share similar patterns matching their co-authorship maps. It was concluded that the diffusion of nano-related technology is steadily progressing due to scientific collaboration among scientists through social network

    In this work, the terms ‘culture’ and ‘corporation’, their features and roles are defined to clarify the concept of ‘corporate culture’. The constitution of the corporate culture and institutionalization periods are investigated, and corporate archives, their functions and activities are explained. In addition to theoretical work, all processes of making a ‘Corporate Film/Documentary’ are told and the formation of the corporate culture is examined with a general overview, and the implementations are exemplified. The main aim of this thesis is to demonstrate the importance and the role of the corporate archives, the functions and works of these archives, in the formation of corporate culture
