Recruiting New Members________________ 
Orienting new members can be seen as developing and conducting an organizational recruitment 
campaign. Yet, as we all know, retaining these new members is entirely another matter. All too 
frequently groups skip any form of orientation and just place their new members directly on committees 
or organizational projects. Although involvement is crucial to the longevity of the group, understanding 
the organization and its goals, objectives, structure, norms and taboos is equally as important. By taking 
the time to orient new members to the privileges and responsibilities of membership, you create a more 
educated membership and a more productive organization - people who can and will make significant 
contributions to the organization. 
A successful organization orientation program should include: 
1. The rights and responsibilities of members 
2. Organizational governance, operating policies and procedures. 
3. Organizational history, traditions and programs 
4. Assimilation of new members into the organization 
5. An overview of campus services, activities and programs for studentorganizations. 
6. Information about any support groups or affiliations the group may have. 
7. Time should be set aside for orientation; don't combine orientation with other activities within a 
limited time space.

Acquaint ...Inform...Motivate 
 
Acquaint 
The purpose of any new member orientation program is to acquaint your new members to both the 
organization and each other. Knowing the ins-and-outs of the group is only one aspect of being in an 
organization. It is important to remember that people join groups for many reasons: they want to get 
involved, learn new skills, make friends and have a good time. For this reason it is important to structure 
time for the members to get to know each other and to develop personal relationships and 
commitments. A weekend retreat is usually the most effective method. The following is an often used 
getting acquainted

Exercise:  
1. Pair off with someone you don't know. 
2. On a sheet of paper, write down ten words or phrases that describe 
yourself. 
3. Take 5 minutes to tell your partner about yourself --do not go over the list. 
4. After you've talked to your partner, write down 5 words or phrases to 
describe him or her. 
5. Swap lists and compare yours with the one that your partner made of you. 
6. Gather into a group of 6 or more and introduce your partner to the rest of the group. Try to include as 
much information as you can recall. 
 
Officers should be included in this exercise. When all of the groups have finished, have the officers take 
time to tell the entire group about themselves; be sure they include their job descriptions. For additional 
ideas on how to acquaint new members to your organization, check out one of the many teambuilding 
books from the Leadership Resource Office. 
Inform 
This section of the orientation process should cover the organization's history, purpose and structure. If 
there are written records, give everyone a copy. Be sure to include organizational charts, officer job 
descriptions and a membership list, complete with phone numbers. Have the new members included on 
this list! 
If you do not have a written history, have the group write one. To do so, place newsprint on the wall and 
choose a scribe. Next, ask the membership to tell what they know about the organization: how the 
group was formed, when and where it started, what past members were like, the programs and/or 
services that they offered, how the organization was structured and how it has evolved over the years. 
Go back as far as you can. When recording this information be creative and think up interesting chapter 
titles. 
It is important to remember that this is an oral history and that you are recording people's perceptions 
about the group. These may not be totally accurate. However, they are important perceptions. They 
influence how people, both members and non-members, think and feel about the group. This collective 
writing of your group's history also provides an opportunity for the leadership to dispel any myths and 
rumors that may be brought up. 
Motivate 
Get your members, returning and newly recruited, excited about the group.  Provide time for them to 
meet each other to share ideas and expectations. Belowis a good exercise designed to accomplish that 
goal.

Have the group break into groups of experienced and new members to discuss the following: 
Experienced Members 
1. If you had last year to do over again would you do anything differently? If yes, how? 
2. What advice would you offer to the new members? 
3. Of which accomplishment(s) are you most proud? 
 
New Members 
1. What would you like this organization to mean to you one year from now? 
2. What would you like to ask the experienced members? 
3. What goals would you like to accomplish this year? 
4. What problems do you anticipate and how would you solve them? 
 
Spend at least 15 minutes in your group discussing these questions. When time is up gather together as 
one group and report what you discussed. It is usually most effective to have the experienced members 
report first, followed by the new members. 
It is also very important to find out what the new members' interests are and what skills they bring to 
the group. Using this information, try to give them tasks which will successfully use their talents and give 
them a reason to be committed.  Whenever possible, recognize members' accomplishments both 
publicly and privately. 
By including the above suggestions in your new member orientation program you will discover that you 
have built group cohesion. By following these tips you will ensure: 
1. New members know the organization and are able to articulate the purpose 
2. Members understand their rights and responsibilities to self and organization 
3. Leadership and discipline. 
The purpose of organization orientation is effective members who make an efficient organization.

Officer Responsibility_____________________ 
While no handout, person or any other source of information can tell you exactly what the officers of 
your organizations should be doing, the following list provides the general responsibilities for elected 
student organization officers. Use these generalizations as guidelines and adapt them to fit your 
organization. 
President 
• The person "in charge," responsible for supervising/overseeing the work of the other officers and 
ensuring that they function together as an effective team 
• Provides the overall vision and sense of direction for the organization 
• Spokesperson/representative/external liaison for the organization 
• Schedules and runs officer and organization meetings 
• Serves as a role model for other officers and members 
 
Vice President 
• Specific roles and responsibilities for this position need to be clearly identified to ensure effectiveness 
• Supervises/oversees chairperson(s) and the work of all committees 
• Selects committee chairs 
• Delegates appropriate responsibilities to committee chairs 
• Actively keeps up-to-date on work of committees with committee chairs 
• Chairs occasional special committees or projects 
• "Assumes responsibility" during absence of president 
 
Secretary

• Each committee will have specific responsibilities and goals 
 
Examples: 
• Membership: recruit, select, train new members 
• Social/programming: organize events, including reserving rooms, renting buses, obtaining 
refreshments, arranging for entertainment 
• Publicity: promote a positive image of the organization by creating and designing, producing and 
distributing all publicity materials 
 
Each officer is equally important to the smooth and effective functioning of an organization. Successful 
officers function as a team, helping each other and contributing to the overall accomplishments and

Alcohol	  and	  Drug	  Response	  Protocol	  
	  
Agnes	  Scott	  College	  (ASC)	  has	  coordinated	  specific	  wellness	  and	  safety	  services	  in	  order	  to	  serve	  
students	  dealing	  with	  alcohol	  and	  other	  drug	  abuse	  and/or	  who	  are	  concerned	  about	  their	  use	  of	  
alcohol	  and	  other	  drugs.	  	  We	  utilize	  a	  multidisciplinary	  team	  approach,	  as	  this	  is	  considered	  a	  best	  
practice	  for	  intervention	  of	  eating-­‐related	  concerns	  on	  college	  and	  university	  campuses.	  	  The	  team	  
consists	  of	  representatives	  from	  the	  fields	  of	  health,	  psychology,	  exercise,	  student	  life,	  nutrition	  and	  
office	  of	  disability	  services	  who	  work	  collaboratively	  with	  the	  student	  toward	  stated	  goals.	  	  
	  
	  
Health	  Risks	  
The	  scope	  and	  impact	  of	  health	  risks	  from	  alcohol	  and	  drug	  abuse	  are	  both	  alarming	  and	  well	  
documented	  ranging	  from	  mood	  altering	  to	  life	  threatening.	  Abuse	  of	  alcohol	  and	  drugs	  alters	  
behavior,	  distorts	  perception,	  impairs	  thinking,	  impedes	  judgment	  and	  sabotages	  opportunity.	  
Substance	  abuse	  may	  result	  in	  deterioration	  of	  physical	  health	  by	  causing	  or	  contributing	  to	  various	  
diseases,	  illnesses	  or	  birth	  defects	  which	  may	  result	  in	  permanent	  impairment	  or	  death.

Education	  and	  Counseling	  
In	  order	  to	  promote	  an	  environment	  free	  of	  substance	  abuse,	  the	  college	  supports	  an	  active	  program	  
of	  community	  awareness	  and	  education.	  This	  program	  extends	  to	  the	  misuse	  or	  abuse	  of	  controlled	  
substances	  including	  prescription	  drugs,	  alcohol	  and	  other	  harmful	  substances.	  The	  college	  also	  
offers	  assistance	  with	  confidential	  counseling.	  Students,	  faculty	  and	  staff	  are	  encouraged	  to	  refer	  
individuals	  who	  appear	  to	  be	  troubled	  by	  drug	  or	  alcohol	  use	  to	  one	  of	  these	  resources.	  For	  students,	  
such	  counseling	  is	  available	  through	  Counseling	  and	  Psychological	  Services	  (x	  7100).	  Students	  who	  
are	  concerned	  about	  their	  own	  or	  others'	  use	  of	  such	  substances	  may	  seek	  advice	  and	  counsel	  from	  
appropriate	  college	  resources	  without	  fear	  of	  breach	  of	  normal	  rules	  of	  confidentiality	  or	  fear	  of	  
punishment.	  	  
	  
	  
Intervention	  Team	  
ASC	  takes	  a	  team	  approach	  in	  working	  with	  students	  and	  holding	  them	  accountable	  around	  their	  
behavior	  regarding	  drug	  and	  alcohol	  behavior.	  Residence	  Life	  Staff	  and	  the	  Dean	  of	  Students	  
Emergency	  on-­‐call	  staff	  in	  conjunction	  with	  Public	  Safety	  respond	  to	  all	  reports	  of	  drug	  or	  alcohol	  
abuse	  on	  campus.	  The	  College	  policies	  dictate	  the	  appropriate	  response	  from	  a	  student	  conduct	  
perspective;	  however	  the	  College	  also	  aims	  to	  help	  students	  get	  connected	  to	  the	  appropriate	  
resources	  if	  the	  student	  has	  a	  substance	  abuse	  problem.	  
	  
Once	  a	  student	  presents	  to	  or	  initiates	  contact	  with	  a	  team	  member,	  the	  team	  member	  will	  work	  with	  
the	  student	  to	  identify	  what	  goals	  the	  student	  would	  like	  to	  work	  toward.	  	  The	  team	  will	  work	  
collaboratively	  with	  the	  student	  to	  determine	  treatment	  options,	  course	  of	  treatment,	  and	  
recommendations	  for	  continued	  care,	  taking	  into	  account	  the	  student’s	  individual	  goals.	  	  Once	  a	  plan	  
is	  created	  the	  student	  is	  responsible	  for	  scheduling	  and	  attending	  these	  appointments.	  	  It	  is	  
important	  to	  be	  proactive	  in	  scheduling	  these	  meetings	  to	  guarantee	  being	  seen.	  	  Recovery	  from	  
alcohol	  and/or	  other	  drug	  abuse	  must	  be	  a	  top	  priority	  to	  the	  student	  and	  the	  student	  should	  
understand	  that	  at	  times	  adjustments	  to	  the	  student’s	  academic	  and	  co-­‐curricular	  plan	  may	  be	  
necessary	  in	  order	  to	  incorporate	  treatment	  recommendations.

The	  above	  individuals	  will	  meet	  on	  a	  regular	  basis	  once	  the	  need	  arises.	  	  The	  team	  may	  consult	  with	  
others	  on	  an	  as-­‐needed	  basis	  depending	  on	  the	  circumstances	  and	  needs	  of	  the	  student.	  	  	  
	  
	  
Confidentiality	  
Confidentiality	  means	  that	  information	  shared	  by	  a	  student	  with	  medical	  providers,	  mental	  health	  
providers,	  and	  individuals	  serving	  on	  the	  intervention	  team	  cannot	  be	  revealed	  to	  any	  other	  
individual	  without	  express	  written	  permission	  of	  the	  student.	  These	  individuals	  are	  prohibited	  from	  
breaking	  confidentiality	  unless	  there	  is	  an	  imminent	  threat	  of	  harm	  to	  self	  or	  others.	  	  
	  
Because	  an	  atmosphere	  of	  trust	  is	  vital	  when	  assisting	  a	  student	  who	  has	  disclosed	  personal	  
information,	  all	  efforts	  will	  be	  made	  to	  ensure	  that	  a	  student’s	  privacy	  is	  maintained.	  However,	  there	  
may	  be	  occasions	  in	  which	  confidentiality	  is	  not	  always	  possible	  or	  appropriate.	  	  The	  College	  has	  the	  
responsibility	  to	  balance	  the	  requests	  for	  confidentiality	  with	  our	  institutional	  responsibility	  of	  
ensuring	  a	  safe	  educational	  environment	  and	  workplace.	  	  Thus,	  depending	  on	  the	  level	  of	  threat	  to	  
the	  student’s	  health	  and	  well	  being,	  on	  some	  occasions	  successful	  treatment	  may	  require	  the	  
cooperation	  and	  involvement	  of	  the	  student’s	  family	  and/or	  guardian.	  The	  student	  will	  be	  
encouraged	  to	  share	  information	  regarding	  treatment	  with	  their	  family	  member	  and/or	  guardian	  in	  
instances	  deemed	  appropriate	  by	  the	  team.	  When	  it	  is	  believed	  that	  a	  student’s	  health	  and	  well	  being	  
is	  in	  jeopardy,	  the	  family	  member	  and/or	  guardian	  will	  be	  notified	  and	  involved	  in	  the	  referral	  
process	  to	  a	  more	  intensive	  treatment	  program.	  Additionally,	  under	  these	  circumstances	  emergency	  
personnel	  may	  need	  to	  become	  involved	  in	  order	  to	  ensure	  the	  safety	  of	  the	  student.	  	  	  	  
	  
	  
Identification	  and	  Referral	  
Any	  student	  concerned	  about	  his/her	  own	  alcohol	  or	  drug	  use	  can	  consult	  with	  the	  response	  team	  by	  
initiating	  contact	  with	  a	  member	  of	  the	  team.	  	  	  
	  
Any	  member	  of	  the	  Agnes	  Scott	  College	  community	  (faculty,	  staff	  or	  student)	  who	  has	  concern	  about	  
a	  particular	  student	  can	  consult	  with	  a	  team	  member.	  	  The	  team	  member	  will	  discuss	  the	  signs	  and	  
symptoms	  noticed,	  give	  advice	  about	  how	  to	  talk	  to	  the	  student	  of	  concern	  and	  discuss	  how	  to	  refer	  
the	  student	  for	  an	  assessment	  if	  indicated.	  	  The	  College	  considers	  this	  a	  best	  practice	  for	  referral	  of	  a	  
student.	  	  
	  
If	  the	  concerned	  party	  is	  uncomfortable	  approaching	  the	  student	  about	  a	  referral	  for	  an	  assessment,	  
or	  the	  efforts	  have	  been	  unsuccessful,	  a	  team	  member	  may	  intervene	  on	  his/her	  behalf.	  	  Once	  the	  
team	  member	  is	  able	  to	  verify	  and	  document	  the	  concerns	  and	  there	  is	  an	  indication	  of	  potential	  
significant	  risk	  to	  self,	  the	  student	  will	  be	  notified	  and	  asked	  to	  schedule	  an	  appointment	  to	  meet	  
with	  a	  team	  member	  for	  an	  initial	  assessment.	  	  	  
	  
If	  the	  student	  is	  unresponsive	  to	  the	  request	  (e.g.,	  doesn’t	  respond	  to	  email	  or	  telephone	  calls,	  etc.)	  or	  
if	  it	  is	  determined	  during	  this	  process	  that	  there	  is	  a	  significant	  and	  immediate	  risk	  to	  self,	  the	  
Intervention	  Team	  will	  consult	  directly	  with	  the	  Dean	  of	  Students	  representative	  and/or	  emergency	  
medical	  personnel.
